This Privacy Policy describes how Joe and ENVY Digital Solutions ("we," "us," or "our") collect, use, and protect information when you visit or interact with any of our websites and digital properties, including through our AI-powered chatbot tools.

This policy applies to the following websites:

1. Information We Collect

1a. Information You Provide Directly

When you fill out a form, opt into an email list, make a purchase, complete a survey, or interact with our AI chatbot, we may collect:

  • Name and email address

  • Phone number (if provided)

  • Business name and industry

  • Answers to qualification questions (e.g., Ready, Willing, Able assessment)

  • Course module survey responses

  • Messages and questions submitted through our chatbot

1b. Information Collected Automatically

When you visit our websites, we may automatically collect:

  • IP address and general geographic location

  • Browser type and device information

  • Pages visited and time spent on pages

  • Referring URLs

  • Click and interaction data (via analytics tools)

2. AI Chatbot — Special Disclosure

Important: Some pages on our websites include an AI-powered chat tool. This section explains exactly how it works, what is stored, and who processes your data.

2a. What the Chatbot Is

Our websites use an AI chatbot tool built on the Claude AI model, developed by Anthropic, PBC. The chatbot may be used for lead generation education, qualification surveys (including RWA assessments), course module support, and general business coaching guidance.

The chatbot is white-labeled and branded under ENVY Digital Solutions. It does not identify itself as ChatGPT or any other third-party AI product. Visitors are interacting with a Claude-powered tool customized by us.

2b. What Is Stored — Browser-Based Deployment

On pages where the chatbot operates in browser-only mode, the following applies:

  • Your conversation messages are held temporarily in your browser's memory for the duration of your session only

  • No conversation data is stored on our servers from the browser-based version

  • An API key (if visitor-supplied) is stored only in your browser's local storage and is never transmitted to our servers

  • Clearing your browser data removes all stored information

2c. What Is Stored — Proxy Server Deployment

On pages where the chatbot routes through our secure proxy server, the following applies:

  • Your messages are transmitted through our proxy server to Anthropic's API over encrypted HTTPS connections

  • Our proxy server does not log or retain conversation content beyond the duration of the API request

  • Our API key is stored securely as an environment variable on the proxy server and is never exposed to visitors

  • Anthropic may retain messages per its own data retention policies (see anthropic.com/privacy)

2d. Data Sent to Anthropic

When you use our chatbot, your messages are processed by Anthropic's API. Anthropic is a third-party AI processor. By using our chatbot, you acknowledge that your conversation content is transmitted to Anthropic for the purpose of generating AI responses. Anthropic's use of this data is governed by their Privacy Policy at anthropic.com/privacy.

We do not authorize Anthropic to use your conversations to train their AI models, and as of the date of this policy, Anthropic's default API data handling does not use API inputs for model training.

2e. Data Sent to HighLevel (CRM)

On pages where our chatbot is connected to our CRM system (HighLevel), certain information collected during the chat — such as your name, email address, qualification answers, or which topic you selected — may be automatically sent to our HighLevel account via a secure webhook. This allows us to:

  • Create or update your contact record in our CRM

  • Tag your contact based on your interests or qualification status

  • Trigger follow-up email or SMS sequences you would reasonably expect

  • Assign you to the appropriate pipeline or funnel stage

This data transfer occurs only when you actively engage with the chatbot and provide qualifying information. Pages where this is active will indicate so in the chatbot interface.

3. How We Use Your Information

We use the information we collect to:

  • Deliver and improve our educational programs, coaching, and services

  • Respond to your inquiries and provide customer support

  • Send you marketing communications you have opted into (you may opt out at any time)

  • Qualify leads and personalize follow-up based on your responses

  • Analyze website performance and improve user experience

  • Comply with legal obligations

We do not sell your personal information to third parties. We do not share your information with advertisers for the purpose of targeting you on other platforms.

4. Cookies and Tracking

Our websites may use cookies and similar tracking technologies for analytics (such as Google Analytics), remarketing pixels (such as Meta Pixel or Google Ads), session management, and remembering your preferences. You may disable cookies in your browser settings. Disabling cookies may affect some site functionality.

Our AI chatbot does not use cookies. Any data it holds is stored in browser memory (session only) or browser local storage as described in Section 2.

5. Third-Party Services

Our websites and tools integrate with the following third-party services, each governed by their own privacy policies:

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this policy, or as required by law. CRM contact records are retained while you are an active lead, customer, or subscriber. You may request deletion at any time (see Section 8).

Chatbot conversation data in browser-only mode is not retained by us. Proxy-server-mode conversations are not logged by our proxy and are subject to Anthropic's retention policies.

7. Security

We take reasonable technical and organizational measures to protect your information, including HTTPS encryption on all web properties, server-side storage of API credentials (never exposed in client-side code), CORS restrictions on our proxy server limiting access to authorized domains only, and access controls on our CRM and marketing systems.

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data using industry-standard practices.

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate information

  • Request deletion of your personal information

  • Opt out of marketing communications at any time

  • Request a copy of your data in a portable format

9. Children's Privacy

Our websites and services are not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. Continued use of our websites after changes are posted constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
